UBC.CA Subdomain Application Instructions (Updated 1995 November 8) This document describes the UBC.CA subdomain application form. To apply for a subdomain, please fill out an application form and submit it to the UBC Network Management Centre. It can be submitted via email to nmc@netcom.ubc.ca or via campus mail to Network Management Centre CSCI Building, Zone 2 Email delivery is preferred. It is recommended that you edit the sample form included below and change the information as appropriate for your organizational unit. Please note that your application is being made on behalf of your organizational unit. It is particularly important that the person in charge of your organization's image approve the choice of subdomain name. A given unit may register at most one subdomain, except for a temporary overlap interval when changing from one subdomain name to another. Here is a description of each field of the application form: Version: This is the version number of the application form. Do not modify this field. Subdomain: The name of the subdomain applied for. A domain name is hierarchial and the domain name UBC.CA can be interpreted as UBC being within the domain of CA (CA is the country code for Canada). To continue with the hierarchial structure, the UBC.CA domain is structured according to logical administrative units at UBC. Your organizational unit must be an administrative unit of UBC to apply for a name within the UBC.CA namespace. Here are requirements and guidelines to help determine the appropriate level of subdomain name for your unit: (1) a top level domain - This is a subdomain name such as "yourorg.ubc.ca". To qualify for a top level domain name, your organizational unit may be one of: (a) a faculty, (b) a department, (c) a cross-disiplanary group that does not report administratively to any one department or faculty, (d) a school, (e) an institute, (f) a service, e.g. the Bookstore and Food Services. A top level domain name is easily found in the UBC Calendar or Faculty and Adminstrative Telephone Directory. (2) a second level domain - This is a subdomain name such as "yourorg.dept.ubc.ca". To qualify for a second level domain name, your organization must be reporting to the domain it is registering within. This is generally a division or group within a department. "yourorg" is a string that encodes the proper name of your organizational unit. Determining the string is a matter of establishing the "organizational electronic identity" of your organization for years to come. This is something you should discuss with the individual in your organization whose authority includes the "organization image". If the appropriate string is not immediately obvious to this person, then we suggest that you use the following steps to determine the string for which you are applying. (1) Start with the full proper name by which your organization conducts its business. e.g.: "Department of Medical Genetics, UBC" (2) Remove all the blanks and references to UBC. e.g.: "DepartmentofMedicalGenetics" (3) Remove truly extraneous components, if there are any. e.g.: "MedicalGenetics" (4) If it is excessively long, abbreviate by trimming the parts whose removal will result in the least loss of recognizability outside the sphere in which your organization is already well known. e.g.: "MedGen" (5) Please choose a descriptive abbreviation of your organization's name, and try to avoid a cryptic abbreviation that defeats the objective of step (4) above. The four letter course code assigned to your unit for courses can be a reasonable subdomain name. To repeat, it is essential that your choice be approved by the person in charge of your organization's corporate image. If you are in doubt about your choice, ask the UBC NMC for a suggestion. It is your responsibility to ensure that you have the right to use the name you have chosen. Registering a domain name does not confer any legal rights to that name. Any disputes between parties over the rights to use a particular name are to be settled between the contending parties using normal legal methods. Obscene names are not permitted. Legal characters are letters, digits, and the hyphen. You may mix upper and lower case, or use all upper or all lower case. Software will ignore case, and users can type in whatever case they like. You should capitalize your subdomain name as you wish it to appear in machine generated lists, such as the return address generated in your outgoing electronic mail. Hyphens may be used to separate words if necessary or consistent with normal references to the proper name of your organization. The UBC.CA domain registrar is the final authority on all matters relating to registration and subsequent use of your subdomain name. Your subdomain name must be approved by the UBC.CA domain registrar before it is used in network communications. If you devise further subdomains of your domain name, then you in turn will have final authority on matters relating to the use of those subdomains. Examples: educ.ubc.ca Faculty of Education civil.ubc.ca Department of Civil Engineering med.ubc.ca Department of Medicine bccancer.ubc.ca B.C. Cancer Research Centre Organization: The full name of your organizational unit. Description: A short paragraph describing your organization. Please include any appropriate justification for your choice of subdomain level. Admin-Name: Admin-Title: Admin-Postal: Admin-Phone: Admin-Fax: Admin-Mailbox: The name, title, full mailing address, phone number, facsimile number, and electronic address of an administrative contact for the organization. This person is within the subdomain's organization and is the contact point for administrative and policy questions about the subdomain. This person is responsible for this application and for any future changes. We recommend that you choose a person who is expected to be around and in a position of authority for many years, and that you use a properly-maintained generic electronic address. If this person is not obviously in charge of the organization's image, please include a note stating the name and position of a responsible person in the organization who has approved the choice of subdomain name. This is the contact point for problems with the subdomain and for updating information about the subdomain. The registrar will verify changes by sending the current registration information back to the submitter and to the administrative contact. We recommend that you use a properly maintained generic electronic address. Don't list people who hate to get electronic mail. One or more of the contacts must read their mail often enough to respond quickly, should a problem arise. For very small organizations, it is permissible to have only one technical contact. It is appropriate to have at least one contact corresponding to each of the forwarders within the organization. Forwarders are described below. The UBC Network Management Centre will provide nameservices for your domain. If you wish to use this service, enter Nameserver-primary: hub.ubc.ca 137.82.1.1 on the application form. If you wish to provide your own DNS server, then it as the primary server and another server as your secondary.
